Opportunity

We are seeking an eager, customer service minded Human Resources Assistant with a positive attitude to join our team. As the “face of Human Resources” you will be responsible for maintaining files, providing administrative support, answering staff and candidate questions, recruitment, and onboarding support. You are comfortable with using a variety of technology tools, thrive in ambiguity by asking thoughtful questions to seek clarity. You can pivot quickly when priorities change and handle constructive criticism with a “how can this be better?” mindset. This is a unique opportunity for someone who is new or retired from Human Resources, transitioning from an Administrative support and/or has an interest in learning all aspects of the HR field. Strategic Context:  The Human Resources Assistant is responsible for key elements that support the organization’s operations. This includes a variety of Human Resources File Management, recruiting and onboarding and administrative support.

 

Essential Functions:

File Management Support

  • Maintaining and creating new personnel files. Ensuring files are complaint per federal, state, and local requirements
  • Updating internal confidential files as needed on Microsoft SharePoint
  • Run reports and conduct periodic audits of personnel files; Follow-up with staff members to obtain proper documents and escalate to HR Manager as needed
  • Manage conversion of hard files to electronic files
  • Filing and processing onboarding/termination paperwork ensuring separate medical files are maintained

Recruitment & Onboarding Support

  • Post, maintain and close jobs on select websites such as Indeed, Craigslist, Work source and others as identified.
  • Coordinate phone screenings and interviews with candidates and leadership teams
  • Manage incoming applications, follow-up with candidates
  • Coordinate onboarding activities for new hires including tech set-up, data entry into systems, E-Verify, assign seating and keys, new hire paperwork, new hire introductions with internal teams. Travel to other sites to assist with onboarding as needed.
  • Run Background Checks in contract with DVR/DDA Contracts and Drivers Abstracts for New Hires
  • Manage covid vaccine policy as required by DVR/DDA contracts
  • Create and maintaining new hire packets
  • Ensure laptops and network connections are established
  • Assists and/or leads New Hire Orientations
  • Continuously improve onboard and exit process in partnership with Finance and Program

Administrative, Operations and Organizational Support

  • Answer general HR-related questions from staff and candidates, escalate to HR Manager as necessary
  • Ensure all employee timesheets are accurate and complete, collect and organize supervisor approvals and coordinate with payroll on a bi-weekly basis.
  • Answering and assisting on inquiries when it comes to benefits eligibility for new hires
  • Leading and assisting Safety Committee Meetings: order safety supplies, maintain inventory, take meeting minutes, safety calendar, periodic communications with safety coordinators for each county
  • Provide administrative and project support to Admin Team: coordinate meetings, take meeting minutes, timekeeping for Executive Director and Associate Director
  • Staff Training: track required and annual training and documents. Schedule internal trainings. Support the arrangement of venues, meals/provisions, trainers/speakers, etc.
  • Office management: Maintain Auburn office and kitchen supplies as needed, keep conference rooms/common areas clean and orderly, coordinate with cleaning team, manage key assignments, manage Auburn conference room calendar/bookings, assist with shipping/mailings as needed, order office supplies and maintain order in supply area. Manage office equipment.
  • Staff milestones: coordinate with HR Manager to send email to staff on tenure anniversaries in conformance with Personnel Policies.
  • Marketing: Periodically support social media efforts by posting jobs, announcements, etc. on various sites. Assist with internal communications such as staff surveys, announcements, etc. Support the procurement of staff recognition merchandise
  • Assist with external marketing projects as needed.
  • Assist with projects as needed to support the entire organization
  • Coordinate printing (business cards, handbooks, brochures, training materials, etc.).
  • Manage general voicemail inbox on a daily basis.

 

Knowledge, Experience, Requirements:

  • 0-1+ year experience of Human Resources
  • 0-1+ years of experience with managing HR files
  • 0-1+ years of experience with recruitment coordination and onboarding new hires
  • Experience with supporting a leadership team (Managers, Directors, CEO’s)
  • High attention to detail is required
  • Ability to maintain confidentiality is required
  • Adaptable to fast-changing and transitioning processes, procedures and priorities is required
  • Proficient in Microsoft Office and SharePoint is required
  • Ability to execute redundant processes for a long period of time (scanning, filing, locating files, saving files) is required
  • Experience with marketing and/or social media management is a plus, but not required
  • Experience with Set Works, Salesforce, or similar CRM highly desired but not required

Mandatory Qualifications:

  1. Must be fully vaccinated against COVID-19 (religious/medical accommodation can be offered if approved)
  2. Must possess a valid Washington State Driver’s License
  3. Must possess private auto liability insurance and submit written verification of same
  4. Must obtain results in criminal background search conducted by Washington State in order to ascertain whether criminal convictions exist for crimes against persons. Evidence of such shall constitute grounds for immediate dismissal
  5. Compliance/completion of form I-9, Immigration and Naturalization Services as required by law
  6. Must possess current certification in first aid and CPR no later than three months from the initial date of hire
  7. Must obtain a favorable driving abstract from the Department of Motor Vehicles.
  8. Weekly travel for supplies or bank deposits. Infrequent travel to remote offices

Hourly wage:
